Overview

Performs secretarial and department support services such as preparing correspondence in final form, receiving visitors, scheduling meetings and inservices, maintaining files and conducting special departmental projects as assigned for Rehab Services. Performs various office tasks, utilizing knowledge of office systems and procedures.

Responsibilities

 

  1. Maintains & ensures accuracy of daily patient schedule for Outpatient and Inpatient therapies.
  2. Communicates with therapy staff to coordinate patient care needs and orders.
  3. Assumes responsibility for department intranet updates & staff communication of system mandatories
  4. Coordinate staff schedules and attend department meetings and weekly outpatient staffing (if applicable)
  5. Answers telephone, takes messages and communicates messages to appropriate person demonstrating good judgement in screening and routing calls.
  6. Ensures accuracy of daily charge entry, including reconciliation
  7. Maintains daily/monthly reports, purchase orders, receiving documents, payroll, PTO calendar and education plan (Inpatient, Outpatient and Acute Care).
  8. Request and monitors supplies to ensure efficient operation of the department (Inpatient, Outpatient, Acute Care)
  9. Responsible for OP chart assembly, filing, and monitoring of chart requirements from admission to discharge.
  10. Performs payroll duties and key entries including maintaining PTO calendar (inpatient, outpatient, Acute Care).
  11. Assist Managers with coordination of PRN coverage as needed
  12. Obtain physician referrals at initial evaluation and every 30 days, thereafter for outpatient therapy
  13. Responsible for processing inpatient therapy orders
  14. File and/or Scan all outpatient therapy documentation in the medical record.
  15. Fax/Scan documentation to physician, insurance companies and follow-up on faxed information.
  16. Assume responsibility for patient registration, insurance verification and insurance follow-up including insurance tracking forms and computer comments, and OP Medicaid. Inform therapist of coverage.
  17. Assumes responsibility for monitoring and updating office policies as needed.
  18. Assists Managers and Business Supervisor in establishing, and monitoring department policies, procedures, and protocols updates/revisions
  19. Collect and distribute incoming and outgoing mail.
  20. Completes Managers and Business Supervisor requests for secretarial support, including Outpatient staffing prep, new hire onboarding, and other typing duties.

  • Must adhere to all DCH Health System policies and procedures.
  • All other duties as assigned.

Qualifications

Good computer skills and working knowledge of Microsoft Office Suite with basic proficiency in Word and Outlook required.  Excellent communication skills required and meets the public well.  Evidence of good math, organizational, and concentration skills.  Detailed oriented. Previous experience in Expanse preferred. Must be able to read, write legibly, speak and comprehend English.

  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
  • Must be able to perform the duties with or without reasonable accommodation.
  • Hearing and vision must be normal or corrected to within normal range.
  • Physical presence onsite is essential.
