Overview

The scheduling coordinator is responsible for the oversight and coordination of the outpatient scheduling department. Various degrees of responsibilities are outlined by standardized criteria for each respective area of expertise.

Responsibilities

  1. Promotes, demotes, or transfers employees to meet organizational needs.
  2. Supervises the outpatient scheduling staff to include management of the information system module, as it is related to imaging services. Takes telephone reservations from doctor’s offices, patients and others as appropriate. Works with technical staff to minimize patient wait time and conflicts.
  3. Serves as a liaison for the patient to ensure that complaints, problems and scheduling problems are addressed and the needs of the patient are communicated to the appropriate staff.
  4. Uses I Care principles to ensure proper patient identification, correct exam, and to improve patient communication and engagement.
  5. Responsible for training personnel on scheduling module.
  6. Participates in process redesign; to include gathering, sorting and analysis of data as appropriate. Recommends and implements process improvement measures.
  7. Coordinates appropriate reservation information to other departments through Expanse, e-mail, physician orders, letters, calls, faxes and Audix messages.
  8. Anticipates scheduling conflicts and problems using good judgment in conflict resolution; is able to edit schedules as requested by area supervisors.
  9. Is able to obtain and record pre-cert numbers for any test requiring precertification.
  10. Cooperatively works with multiple facility modalities and the different requirements for each.
  11. Knowledge of community-wide centralized scheduling module and is able to schedule, order and edit exams for multiple departments to include radiology, neurology, pulmonary, cardiology, respiratory and nutritional consults.
  12. Completes all patient care related paperwork as required. Employee understands billing practices.
  13. Serves as a liaison to associated medical staff and their office staff.
  14. Directs the application of ABN’s for outpatient scheduling; liaison for ABN’s for physicians and their office staff.
  15. Responsible for maintenance and adjustment to additional facility schedules.
  16. Be and remain insurable according to the standards that are established by DCH’s insurer, as they may exist at any time.

  • Manages front line operations of area of accountability related to meeting/exceeding departmental goals, 5 keys of excellence, DCH Mission and Vision.
  • Performs compliance requirements as outlined in the Employee Handbook. Fulfills education requirements       for assigned position including DCH Health System and Imaging required CBT’s, in-services, meetings and       educational sessions. 
  • Responds timely to all forms of communication.

Qualifications

  1. High school graduate or equivalent with good perception of order and minute details; self motivated with the ability to stay focused on repetitive tasks.
  2. Job requires knowledge equivalent to that which completing a 4-year college degree program with a business/management emphasis would acquire.
  3. Strong communication, detail oriented, critical thinking, problem solving and customer service skills are essential; quick learner, works at fast pace, expeditious, friendly and courteous to staff and physicians.
  4. Must be efficient in the use of all office equipment, computer and keyboard operations and related material essential to good patient care and reports any problems when necessary.
  5. Must be able to read, write legibly, speak, and comprehend English.
  6. Supervisory experience preferred, but not required.
