Overview

Under the supervision of the Nurse Manager and/or the Administrative Supervisor, assists with planning, organizing, implementing, and evaluating the staffing needs within the Department of Nursing. Promotes positive relationships with all staff and departmental leaders.

Responsibilities

  1. Prepares and maintains accurate schedules and attendance records.
  2. Consistently communicates staffing changes to the unit by telephone, text message and/or computer.
  3. Strives to provide optimal staffing as per staffing plan for each assigned nursing unit and escalates appropriately when goals cannot be met due to resource limitations.
  4. Adheres to safe scheduling practices.
  5. Maintains accurate records such as unplanned absences (call-ins), Patient Attendant requests, Charge Nurse requests for increased staffing due to high acuity, low census process, etc.
  6. Maintains and updates employee database information and telephone numbers.
  7. Demonstrates the ability to use the appropriate scheduling codes for documentation (i.e. 0645-12, 1445-4, 1845-4 1845-12, x0645-12, x1445-4, x1845-4, x1845-12, INT-FMLA, etc.)
  8.  Applies pay codes accurately (i.e. CTO, PTO/A, EA, AWOL, SICKLEAVE)
  9. Uses API Centricity staffing and scheduling module and time and attendance module while assisting Managers/TLs or Charge nurses as appropriate.
  10. Demonstrates a working knowledge of each unit's "Master Staffing Plan" and flexible caregiver hours.
  11. Ability to make fair and consistent staffing adjustments based on call ins, acuity changes, census, caregiver hours, experience of staff, and recommendation of the Manager, Team Leader, Charge Nurse and/or Nursing Supervisor.
  12. Routes information and telephone calls to the appropriate person.
  13. Effectively communicates in a clear, concise manner to the Manager/Team Leader, Charge Nurse and/or Nursing Supervisor.
  14. Responds to CTO requests within the defined period of the policy.
  15. Understands the short notice time off process and adhere to staffing guidelines (cancel OT, Flexi staff, and per diem).
  16. Prepares daily staffing huddle forms.
  17. Communicates staffing needs accurately to the Administrative Supervisor
  18. Reviews assigned departments: Add Attendance and applies as per policy.
  19. Demonstrates knowledge of attendance policies; maintains attendance records and generates unit reports at the predefined intervals.
  20. Completes assigned tasks in a timely manner.
  21. Adjust personal schedule to meet the needs of the department.
  22. Attends in-service programs (mandatory), all required training/education, and unit/department/service meetings

Qualifications

High school diploma or GED required. Typing skills (30 wpm), strong interpersonal skills; must be able to work in stressful situations; practices professional telephone courtesy at all times; and must have computer skills.

 Must be able to read, write legibly, speak, and comprehend English.
